The responsibilities of this job include, but are not limited to the following:
- Providing administrative support to the in-house legal department, Compliance Officer, and Privacy Officer/CRC Coordinator, including research assistance, document preparation, and calendar management;
- Receiving, reviewing, investigating, recording, tracking, and providing appropriate follow-up on Form 688 Reports (Unauthorized Disclosure of PHI) and all other Health Insurance Portability and Accountability Act (HIPAA)-related matters;
- Supporting the CRC Coordinator in reviewing, investigating, and providing appropriate follow-up on and coordination of patient complaints involving alleged discrimination;
- Preparing HIPAA-related correspondence and relevant documentation as needed;
- Reviewing, recording, and tracking various reports as directed;
- Reviewing, researching, and responding appropriately to escalated situations (e.g., patient encounters and patient hardship requests);
- Working in conjunction with the Quality Assurance Department regarding standards of care issues;
- Working in conjunction with the Administrative Services Department regarding escalated billing-related matters;
- Acting as a liaison between Patient First, individual defendants, witnesses, defense counsel, law enforcement, and professional liability carriers in third-party civil and criminal proceedings;
- Accepting and researching witness subpoenas and subpoenas duces tecum (documents) directed to Patient First and/or its employees, in conjunction with the Medical Records Department;
- Fielding inquiries and requests from employees and providing assistance, referrals, and answers as needed;
- Tracking, preparing, and maintaining all business associate agreements;
- Maintaining the Legal accounts payable spreadsheet;
- Processing payments for legal or other invoices;
- Maintaining Patient First corporate minutes and annual reports;
- Assisting Senior Management and other departments as needed;
- Assisting with meeting preparation, including preparing materials, scheduling, travel, and ordering food as needed.
Minimum education and professional requirements include, but are not limited to, the following:
- Employee must be 18 years of age or older;
- 5 years or more of administrative experience;
- Experience with complaint management and/or patient relations preferred;
- Excellent verbal, written, interpersonal, and logical thinking skills;
- Ability to maintain high standards of confidentiality;
- Ability to work on multiple projects and meet deadlines;
- Excellent organization skills with attention to detail;
- Ability to work independently and with teams;
- Proficient with Microsoft Office (Word, Excel, PowerPoint) products.
